Managing Demographics (Benefits)
Overview of demographics from a benefits perspective.
General Information
An employee's demographic information is very important as it ties to multiple areas of the platform.

Employee demographic information sits on their payroll profile, under the Demographic tab. It includes:

Demographic start date

Branch
-
Division
-
Department
-
Class
-

This demographic information relates to benefits in the case that it determines if they are eligible for certain plans or not.

For example: A medical plan is only offered to people in the NY branch and Full Time class. In this case, only individuals with the NY branch and Full Time class set in their demographic tab can enroll in the medical plan.

Errors
If you receive any of the below errors, please ensure demographics are set up correctly.

Demographic Date does not match Hire Date.

Please ensure demographic start date matches true hire date on the employees profile. Employees cannot enroll if they mismatch.

Employee not eligible to enroll.

Please check that whatever demographic class they have in their Demographic tab is eligible by going to Company > Class, in Payroll, and determine if the class allows benefits.

Employee not eligible for a specific coverage line.

This indicates that the employees demographic branch, class, division, etc, may not line up with what the plan rates have stated.

Demographic Changes and Terminating Benefits
Whenever demographic changes are made, a new demographic record is required and needs to be coinciding.

For example:

John Smith moves from Part Time to Full Time.

Part time (1/1/2018 to 12/31/2018)

Full Time (1/1/2019 to Present)

If employees are moving from a benefits eligible class to an ineligible class, benefits can be terminated from adding the new demographic line.

For example:
-
John Smith moves from Full Time to Part Time, in the new demographic line, there is a box titled "Terminate plans if selectedclass has no benefits".

This will automatically end date all benefits in correspondence with the company's plan termination rules
